HOW DO WE GET STARTED?
Please explore this website and make sure to read all of the Venue Information and FAQs before you submit an application. We have built a template where you can apply to offer goods and services for the 2017 season. You can apply for a specific event, multiple events or for the entire season. Your data will be imported into our database and we will begin processing your information immediately. We will confirm receipt of your application within 24 hours of submission.
All of your information will be placed on file and we will contact you by e-mail to initiate a discussion. We will build a file that contains your application, your references, photos and marketing materials and other pertinent data.
As we move through the application process, we will contact you to discuss your products & services, ask for additional information (as needed) and work with you on pricing and location selection within The Gorge Campground. All deadline dates are mentioned in the Venue Info section of this website.
We will also ask you to help us make this process more efficient. We will follow up with you to ask for feedback and suggestions as how to make this process easier in the future.
WHAT IF I HAVE VENDED AT THE GORGE CAMPGROUND IN THE PAST?
We need to process the data of each past, current and future vendor at The Gorge Campground to ensure that we have all of the necessary information to create an accurate “vendor profile”. Past vendors will be required to submit their data as they apply for a vending relationship in 2017 as well.
WHO IS FULL CIRCLE VENDING?
Full Circle Vending, LLC. (FCV) is an independent property management company who specializes in the development of vending economies for large scale venues. FCV has been created as a separate entity to provide our client (Live Nation) with a professional management team and has been contracted to perform the following duties:
This means that moving forward, our management team will be your (exclusive) landlord at The Gorge Campground. FCV will select each vendor, set all performance protocols, standards for excellence and execute each site lease with you as a vendor (no exceptions). There will be personnel on-site with you 24/7 during each event in order to assist you with your vending efforts.
HOW LARGE IS THE ECONOMY AT THE GORGE AMPHITHEATRE
The Gorge consistently hosts between 300,000 – 400,000 annual visitors each year during an event season (individual concerts and festival dates). This season usually extends from Memorial Day weekend through the middle of September. Due to the remote location, many of our guests choose to enjoy our camping facilities for many different events throughout the season.
HOW LARGE IS THE VENDING ECONOMY AT THE GORGE CAMPGROUND?
The main campground can accommodate over 5000 vehicles which range from single automobiles to buses / RVs up to 40 foot long. Adjacent fields provide camping for up to 1200 additional vehicles. We average 4 people per vehicle, providing a maximum capacity of approximately 25,000 attendees.
WHO IS LEGENDS?
LEGENDS is a global food services management company who works as a corporate partner with LIVE NATION at selected venues nationwide. They have the exclusive food services contract within The Gorge Amphitheatre and will enter into direct contracts with selected third party food vendors, usually on a percentage basis. Should you wish to vend food INSIDE The Gorge Amphitheatre, You must contact them directly (Danny.Ybarra@legends.net). Full Circle Vending, LLC. (FCV) does NOT negotiate in their behalf.
DO I GET FREE ADMISSION INTO THE GORGE AMPHITHEATRE AS A VENDOR?
WHAT CREDENTIALS MUST I HAVE TO VEND AT THE GORGE CAMPGROUND?
In order to vend any product or service at The Gorge Campground, you must have the following in order to be allowed on our property.
A. A Washington State Business license (UBI number)
B. All local vending licenses and / or permits.
C. WA state food handlers permit (food only)
D. General Liability Insurance (verifiable)
WHAT IS THE DIFFERENCE BETWEEN A FOOD, MERCHANDISE AND SERVICES VENDOR?
A Food vendor and Merchandise Vendor usually operate from a fixed location. They are assigned a vending location and will operate their business as a retail store front. There are times we may allow for certain carts to meander through the Gorge Campground to sell a Food or Merchandise product (ice cream, glow sticks, etc.
A Services Vendor may operate out of a booth (Hair Salon, Massage, Henna Tattoos, Phone charging stations, lockers) but may also be providing different types of Services that may be mobile (Tow Trucks, Taxi, Uber, Lyft, concierge, etc.). All vendors, regardless of their products and / or services, will be subject to our Application process. All vendors must also diligently follow each of our Policies and Procedures, Code of Ethics and compliance requirements.
HOW DO I QUALIFY AS A FOOD VENDOR AT THE GORGE?
Our primary goal is the safety and satisfaction of our guests at The Gorge Campground. Therefore we will thoroughly screen each applicant and then hand select those whom we feel will enhance our customer experience. We have certain requirements of any food vendor which are non-negotiable. They are:
A. You must have General Liability Insurance (2MM) and include us as loss payee.
B. You must have a Grant County (temp or Annual) Health Department Permit (download here).
C. You must have a verifiable professional reputation of excellence (you will be vetted).
D. You must have a professional appearance and attitude (both equipment and staff).
E. You must have an original and reputable product.
Our other goal is to promote locally sourced ingredients, organic choices when possible, “farm to table” sourcing and a superior presentation. Whatever your product may be, we want great reviews and good “word of mouth” feedback from our guests.
We strive towards sustainability by encouraging eco-friendly packaging and recycling whenever possible. Please do not use Styrofoam or other such products whenever possible.
HOW DO I QUALIFY AS A MERCHANDISE VENDOR AT THE GORGE AMPHITHEATRE / CAMPGROUND?
Our primary goal for Merchandise vending is still the safety and satisfaction of our guests at The Gorge Amphitheatre / Campground. However, Merchandise vending does not require as much regulation as does the handling of food products. We are looking for vendors who have a unique product to offer our guests. We want for your products to be hand-made, creative, unique and beautiful. We wish to promote the arts and want to establish the look and feel of a higher end arts & crafts community. Although we will select some vendors to sell pre-packaged items (sunglasses, etc.), we are making a special effort to promote artists and their unique creations. However, there are still certain requirements you must adhere to that are non-negotiable:
A. You must have General Liability or Temp (single event) Insurance and include us as a loss payee.
B. You must have all the necessary permits and documentation as a business.
C. You must have a reputation for excellence.
D. You must have an original and reputable product.
E. You must be able to work in a professional environment.
HOW DO I QUALIFY AS A SERVICES VENDOR AT THE GORGE AMPHITHEATRE / CAMPGROUND?
Our primary goal for Services vending is still the safety and satisfaction of our guests at The Gorge Amphitheatre / Campground. However, Services can vary drastically from other vendors in that they may not be confined to a specific location, or even the venue itself (taxis, etc.). Some Services vendors (hair salon, massage, etc.) may be asked to work in designated VIP sections throughout either venue. We are extremely selective of Services vendors and must usually get Corporate approval (LIVE NATION) before we can enter into an Agreement with such Providers. These are some of the standards you must meet before being considered as a Services vendor:
A. You must have General Liability Insurance (2MM) and designate us as a loss payee.
B. You must have all the necessary LICENSES, permits and documentation as a professional.
C. You must have a reputation for excellence (5 years minimum, verifiable, extreme vetting).
D. You must have a reputable service to offer. You must be a qualified professional!
E. You must be able to work in a professional environment (your appearance matters).
F. Every member of your Staff will be vetted individually to qualify for Services Vending.
G. You may be subject to a background check (and be subjected to certain associated fees).
WHAT DO YOU MEAN BY PROFESSIONAL?
A professional vendor is someone who understands vending from every perspective. As an investor, manager, employee, customer, landlord and guest. Such a person can relate to those around them and tend to be more consistent and reliable in business relationships. We expect the following from our vendors:
A. You are Reliable – This means you arrive and depart on time, have all your documentation in order, respond promptly to our requests, and are prepared to work in a fast paced environment.
B. You are Presentable – This means you have invested in the appearance of your equipment, your staff and your product(s). Your signage is attractive and you take pride in your work.
C. You are Responsible – This means you know how to prepare for every possible contingency (power outages, bad weather, cellular disruption, etc.) Your staff will understand that drugs and alcohol consumption is strictly forbidden in the vending area(s) and that safety is our #1 priority!
D. You are Likeable – This means you cooperate with your other vendors, treat our customers with respect and communicate efficiently with our management team.
WHAT DO YOU LOOK FOR IN A VENDOR?
We evaluate each candidate by reviewing their application and resume. We will check your references and speak with you directly to determine if you are a “fit” for our environment. We do not like drama! We want to avoid situations such as a vendor getting shut down by the health department, stations being unattended, canopies collapsing in bad weather (it happens) or witness any one of a million other scenarios (you name it). In other words, we want to know that you are prepared to function in an extremely intense, fast paced environment. We want you to be experienced so that you know to be prepared for every possible scenario.
We want a community of friendly professionals who all look out for each other so as to have fun and make good money. Tell us about yourself and we will do everything we can to see if you are a good candidate to be a “Guest Vendor” or “Preferred Vendor” at our venue.
WHAT IS THE DIFFERENCE BETWEEN A GUEST VENDOR AND A PREFERRED VENDOR?
A guest vendor is someone who wants to come provide a product or service for a single event. Guest Vendors might be following a tour or might have a product that is very specific to a single event (such as cowboy boots for a Country Festival). Some guest vendors have “day jobs” and they just want to make a little extra money while enjoying the music event lifestyle.
Food Truck vendors are highly invested in their business and are therefore usually preferred as food vendors. Food Truck operators tend to be prepared, move in / out in an orderly fashion and are “low maintenance” in general. However, certain products may require a different size footprint (Pizza, Ice Cream) and those vendors will be given fair consideration as well.
We define a Preferred Vendor as an experienced supplier of goods and services that demonstrates to us that they are an asset to our economy. A Preferred Vendor is someone who works as many events as possible, even smaller shows throughout the season. We tend to reward Preferred Vendors with first choice of vending locations, product exclusivity and other rewards. There is no set criteria for you to be designated as a Preferred Vendor. We will know who you are as time goes by.
HOW WILL YOU HELP US MAKE MONEY?
First of all, we will be limiting the number of food vendors at the Gorge Campground (Pivot Area only) for each event. On Festival dates when we reach our capacity with over 27,500 guests, their choices will be more limited and you will enjoy significantly more revenue as a food vendor. On those dates where we have a single date event, we will reduce the number of food vendors to our mostly preferred vendors in order to help each vendor retain their market share.
We are also setting our minimum price point at $8 dollars for any food concession item inside The Gorge Campground ($12 dollar average encouraged). This will provide an equal playing field for all third party food vendors and help you maintain your profit margin(s). Any deviation from this pricing protocol will have to be approved in writing by our Management team.
We understand your business. We know the investment and cost involved to bring your product to market. Nothing is guaranteed in a vendor economy and there are many factors out of our control that can affect your income. However, we are here to do everything we can to help you be successful. Ultimately, your success and our success is determined by cooperation. Help your neighbor and they will help you.
WHAT INFRASTRUCTURE DO YOU PROVIDE?
We provide you with a designated vending location, utilities and proportionate access to restrooms and hand washing stations. You will define your specific power needs to us in your vendor application. We are currently trenching so as to be able to provide grease traps, grey water and black water disposal. We will keep you informed as to how / when they are developed and at which locations they will become available.
We do have a back-up generator on site. However, it is highly recommended that you bring one as well for your electrical needs. Systems do get overloaded and bad weather can affect your power. Please do not bring loud, commercial generators to our venue.
WHAT SIZE ARE THE VENDING LOCATIONS?
The size of your vending area will vary according to your location and your infrastructure needs. There will be different sizes pad sites to accommodate food trucks, commissary area(s) and custom needs.
The most common vending pad size will be 10’ of frontage for Food, Merchandise and Services vending and these pads will be provided with access to 110V (20amp) electrical outlets. A vendor can increase their footprint to a 12x12 pad should you qualify for certain locations. All basic pad sites are 10’x10’.
Food and Merchandise vendors can also opt for 20’ of frontage for their food trucks, trailers or custom tents (we will not penalize any food trucks who are up to 25’ (“tongue to tail” in length). We can also provide you additional space for commissary / food preparation behind your frontage as well (for a fee), depending on your footprint and location requirements. We are also able to provide 220V (30amp) and 220V (50amp) service to selected site locations. Your options are clearly identified in the “Apply Here” section of this web site.
A pad site may consist of a section of lawn, gravel or concrete pad. Please keep in mind that we are currently developing the site and are subject to permitting and other development challenges. Some sites may be more primitive than others but will be priced accordingly. Pad sites can also be customized (based upon availability) for certain vendors. Be very specific as you submit your Vendor Application.
ARE THERE ATMS AT THE GORGE CAMPGROUND?
Yes, there are six (6) dedicated ATMs located throughout The Gorge Campground and 10 more inside the main venue. They are state-of-the-art ATMs that accept both national and international credit and debit cards. They have been updated with the new “chip card readers (EMV) and have a 98% success rate in completing transactions. Canadian credit / debit cards are now synchronized with our ATMs.
CAN I ACCEPT CREDIT CARDS AT THE GORGE CAMPGROUND?
Yes, however, cellular connections can become unreliable during peak usage times so you must be prepared to function in an all cash environment.
HOW MANY EMPLOYEES / GUESTS / VEHICLES / PETS CAN I BRING TO THE GORGE CAMPGROUND?
You will be allowed one camp site for each vending location. We will do our best to assign you a spot close to your vending location. However, they are filled on a “first come, first serve” basis. Do not expect to be close to your vending location if you show up late for your “load in”. You are allowed up to 6 total campers as would any other guest (vehicle) to the venue and you will be limited to a camping footprint of no more than 10’x40. You are only allowed two (2) vehicles on site. This includes your vending vehicle. A trailer is also considered a vehicle for these purposes. Understand that this is strictly enforced and that should you deviate from this requirement, you will be charged for an additional vehicle(s) at current rates.
We do not allow for you to bring “guests” to the venue. Nor do we allow for you to bring underage children or pets. We do allow for service animals but as a vendor, you should understand that this might be at odds with health department rules and regulations, especially where food vending is concerned. You are ultimately responsible for your product, your staff and your presentation. Although we want you to enjoy your stay, we do not want see unprofessional behavior from anyone in your party at any time. Should you be subject to eviction due to issues arising from safety, our code of behavior or any other reason, you will not be able to receive any refund or compensation of any kind whatsoever.
HOW WILL YOU STRUCTURE OUR CONTRACTS?
Once you are approved as a vendor for the 2017 event season, we will execute a “Master Agreement” contract with you that defines all the terms and conditions of our relationship. This Master Agreement will include all of your identification and credentials and serve as the basis of our relationship. We will maintain this Agreement throughout the season with you so that each event will only require an addendum to the Master Agreement for each event date in which you wish to participate. This takes a lot of time and effort to initiate but will be much more efficient, especially for those of you who wish to participate in multiple events.
WHEN IS PAYMENT DUE?
No Vendor Contract is considered complete or will be confirmed until such time as we have received all of your documentation and payment for your site lease(s). All payments are due 14 days before each event or we may void our contract and replace you as a vendor at our sole discretion.
WHAT IS YOUR CANCELLATION / REFUND POLICY?
You may cancel your site reservation up to 14 days in advance of an event date. However, you will be assessed a 10% cancellation fee for doing so (only if you have committed to the event in writing). There will be no refunds granted for any late cancellations or “no shows” to The Gorge Amphitheatre or The Gorge Campground venue location(s).
The Gorge Campground is a separate entity from The Gorge Amphitheater and we usually open our gates the day before an event at the main venue. We also close the day after. We have a “Rain or Shine” policy. That means that once you arrive to the Gorge Campground, you are committed to the event, rain or shine. Should an event be cancelled before we admit you on-site, we will not charge you for rent(s) and will refund you 100% of your financial commitment. Should an act be canceled due to weather or any other reason the day of show (the band gets sick), you will still have an audience at The Gorge Campground and are still required to fulfill your contractual obligation(s). If we have to evacuate the venue for any reason, we will refund you a pro-rated amount according to the number of hours you have been on the property. Refunds are solely limited to the rent amount(s) collected and we are not liable for any other investment you have made to vend your products and services at our Venue(s).
WHAT CHANGES CAN WE EXPECT TO SEE AT THE GORGE CAMPGROUND IN 2017?
We are currently reviewing our Master Development Plan and are making a significant investment into the vending area(s) at The Gorge Campground. We are digging trenches for new utilities, paving new pathways, building new structures and improving the overall look and feel of the Venue. These efforts will continue throughout the season and you will see a noticeable improvement in every aspect of our Furthermore, we are providing you with a dedicated staff to assist you with all aspects of your vending experience at The Gorge Campground. Full Circle Vending (FCV) will work closely with each of you to help make your vendor experience more efficient, more enjoyable and more comfortable in 2017.
